KUCCPS Portal Now Open for TVET Application by former KCSE candidates

The The Kenya Universities and Colleges Central Placement Service (KUCCPS) is mandated with the responsibility of placing students to higher institutions of learning; Universities, Colleges, Polytechnics and TVETs.

KUCCPS usually opens the student portal to give an opportunity for students who did not secure placement during school application, first and second revisions.

Such Students can then submit application for a Diploma, Craft Certificate or Artisan Certificate in a National Polytechnic, Technical Training Institute or Technical Vocational College of your choice.

OPENING OF THE PORTAL

This year KUCCPS has opened the portal for all form four graduates who want to further studies to make their applications, online. The online application portal is now open.

KUCCPS Requirements to join Tvet Institutions

To qualify for TVET programmes, one must meet these basic requirements: Must score;

Level KCSE Mean Grade
Diploma C- (minus) and above
Craft Certificate D (plain) and above
Artisan Certificate D-(minus) and below

 

The available programmes, institutions, minimum entry requirements and the application procedure are available on the KUCCPS Student’s Portal accessible through the Placement Service website www.kuccps.ac.ke.

ELIGIBILITY

All KCSE certificate holders who have not benefited from government sponsorship before are eligible to apply where they meet the minimum requirements.

Successful applicants will be admitted to a college of their choice this year.

Applicants who need assistance should visit the KUCCPS desks in the following Huduma Centres: Nairobi (GPO and Makadara), Eldoret, Meru, Nyeri, Kisumu, Kakamega, Nakuru, Kitui, Garissa and Mombasa. Assistance may also be obtained at the KUCCPS offices at ACK Garden House (Ground Floor) on 1st Ngong Avenue in Community Area, Nairobi.

To download your Kuccps admission letter, head straight to the TUM portal login.

A. PROCEDURE FOR DOWNLOADING ADMISSION LETTERS FOR KUCCPS STUDNTS

i. Visit the Technical University of Mombasa (TUM) Website (www.tum.ac.ke);
ii. Log in using your KCSE index number as user ID and Password
iii. Click at “sign in”
iv. Select “Download now”
v. Download and print your admission letter; and
vi. Save and keep a copy of the same for your future use.

B. PROCEDURE FOR REGISTRATION OF KUCCPS

1. Fill in the following forms downloaded:
vii. Admission and acceptance letter
viii. Acceptance Declaration Form, TUM/ Form/ RAA/009
ix. Student’s Personal Detail Form, TUM/Form/RAA/010
x. New Student Admission Form, TUM/Form/RAA/012

2. Attach a copy of the following documents;

i. National ID/ Birth Certificate / Valid passport
ii. Fee payment deposit slip which should be 100%.
iii. Acceptance and commitment statement (For minors, the
parent/guardian to sign)

C. PROCEDURE SELF SPONSORED STUDENTS.

i. Retrieve your admission letter from your own personal email, in case of challenges; visit TUM’s Admission office for assistance
ii. Attach O-level result slip/Certificate and other academic credentials
iii. Then follow the same procedure as KUCCPS’ students as stated above under B

D. STEPS FOR DOCUMENT PROCESSING

i. Scan all the required documents in Pdf format, merge the documents to form one continuous document , maximum size of 4MB
ii. Save the merged document using your student registration number as the name of the document e.g. BSIT/001J/20
iii. Unmerged documents shall not be processed

E. PROCEDURE FOR FORWARDING DOCUMENTS:

i. Use your own email address to forward the documents
ii. Write your full name on the subject part of the email
iii. The merged document be forwarded to us through email address;
iv. admissionsaugust2021@tum.ac.ke
v. No hard copies shall be accepted due to Covid 19 control

F. FEEDBACK ON SUCCESSFUL REGISTRATION

i. Success massage shall be forwarded to your email address upon registration

G. UNIT REGISTRATION

i. Upon successful registration proceed to ICTS/ Department for invoicing and unit registration for your name to appear on the class register.
ii. This must take place within the first two weeks of the semester
iii. Obtain class timetable to enable you attend classes

H. ACCOMODATION

i. Visit the TUM’s website on tum.ac.ke
ii. Click portals
iii. Select students portal
iv. Click at e- register
v. Use your student registration number as username and password
vi. Click at Hostel & Catering
vii. Select bed booking
viii. Click reserve button
ix. Then save
x. Upon successful reservation, a message of success appears on the screen

KUCCPS Inter-university Transfer: How to Change Your College Placement

Learn how to transfer your college placement through the KUCCPS Inter-university Transfer process. Step-by-step guide for a smooth transition.

Every year, KUCCPS gives students a time frame to change the universities and colleges placed. Within this period, you can apply for a transfer to another university through the KUCCPS student portal.

While you are doing the inter-university or TVET college transfer on the portal, you have a chance to change the course you were placed in, if you need to.

Normally, all TVET and undergraduate courses are allocated by KUCCPS against the backdrop of the stated capacity in the particular institution the student wants to pursue a course. However, competition and cluster points also come into play when the capacity is very low.

There are reasons why you may want to change an institution. Maybe you want to do Nursing and it is not being offered in the university you were placed.

Whatever the reason, use the following guidelines to apply for transfer from your current institution to another of your choice:

Step 1: Check Requirements for Inter-University Transfer

  • To be eligible for transfer, KUCCPS must have placed you in the programme you want to transfer from.
  •  You should confirm that you meet the minimum requirements for the course you want to pursue. Some courses like education do require students to have scored at least a mean grade of C+ and at least C+ in the two subjects the students want to teach. At this point, you should check the core subjects required for your desired course and minimum grades affixed to them.
  • You should meet the cut-off point for the course in the respective placement year. In this case year 2019.
  • The course you applied for must have been offered in the year you were placed.
  • You can only apply to transfer to one programme.
  • You will only transfer once for the duration of the programme placed.

Step 2: Login to KUCCPS Portal

Head over to student.kuccps.net Student’s Portal. Click on Login and enter your login details:

Your KCSE full index number, the year you did your KCSE, and the password. Password is your bath certificate number or your last KCPE index number.

When you hit ENTER, you are brought to the Dashboard. There should be a message congratulating you and indicating the course and institution you have been placed in.

If you are happy with the results then you don’t have to change the university or college. Otherwise, read on.

Step 3: Selecting the Course

Click on the Programmes tabs to go to the programmes page. You will see categories of courses grouped as Degree Programmes, Diploma Programmes, Certificate, and Artisan Programmes.

Scroll down or search the course you want and follow the link to reach the minimum requirement page for that particular programme.

Under available programmes, look for the university or college you want to transfer to. You may want to click on the institution acronym to reveal the full name of the institution.

Check your cut-off points against the current year’s cut-off points  column. Your points should either be less or equal to that of the institution you want to transfer to.

Once you have settled on the program you want to undertake, note down the 7 digit programme code for that particular institution you want to transfer to.

Step 4: Apply for the University Transfer

Click on the Transfers tab and go through the instructions in the Transfers dashboard. Once you are satisfied, click on the Transfer Application tab.

You will see your initial placement and a box to enter the 7 digit code you noted down earlier.

Enter the code into the box and move to finalize the application details and state the reason for the transfer.

Step 5: Application fee payment

An application processing fee of Ksh1,000 is charged per application. A prompt for the M-PESA transaction code will appear at the point of submission. Keep the transaction code safe as it may be required again.

CAUTION! Do not make any payment before you are prompted to pay or after the application deadline has passed!

Only pay when you reach the stage you are told to pay the processing fee. The pay bill number and the full account number will be displayed at this stage.

Payments to KUCCPS are made through Business Number 820201. The account number follows the format; enter your KCSE Year and KCSE Index Number (no space). Please confirm the details before sending the payments.

Step 6: Submit the Application to the Receiving Institution

Upon receiving the application, the receiving institution, or the institution you want to go to, will endorse the transfer applications through their online portal and submits them.

The releasing institution (where you are currently placed) will then receive the applications and clear you through their institutions portal and submit.

The endorsed applications then reach the KUCCPS CEO for approval. At this stage, KUCCPS will generate a transfer letter which can be accessed by you the student and the two institutions involved.

Step 7: Download the University Transfer Letter

You can then download the approved transfer letter through the KUCCPS portal and present it to the new institution for admission.

Once you have made an application for transfer, you can monitor the progress of your application via the KUCCPS student portal.

Why there is an anxious wait for 2025 Kuccps placement of KCSE 2024 Candidates

The more than 962,000 candidates who sat the 2024 Kenya Certificate of Secondary Education (KCSE) examinations are facing anxiety; as they wait for placement into their preferred Universities and Colleges.

Among these are 246,291 who scored C+ and above and qualified for universities admission.

Even though there is an ongoing intake for those seeking to join technical colleges, the uncertainty over funding and failure by Education Cabinet Secretary Julius Ogamba to give direction is causing jitters.

Several days after the release of the examination results, the Ministry of Education is yet to provide direction on when the student portal will open for applications to join universities under government sponsorship.

Further fueling the anxiety is failure by CS Ogamba to communicate the selection and admissions process during the release of examination results, as is the norm.

This silence has left parents and students on edge as they anxiously await news on their aspirations to join institutions of higher learning.

The Kenya Universities and Colleges Central Placement Service (KUCCPS) has also remained silent on the matter weeks after release of the results. The situation marks a departure from tradition, where the Education Cabinet Secretary would instruct the placement agency to commence the selection and placement exercise immediately after the results are announced.

In the 2023 KCSE examination cycle, the then Education CS Ezekiel Machogu directed the Kenya National Examinations Council (KNEC) to hand over the results to the Kenya Universities and Colleges Central Placement Service (KUCCPS) to begin the placement process.

“I ask KNEC to complete their processes and hand over the final results to KUCCPS to pave the way for the start of the placement process,” Machogu said during the release of the 2023 KCSE results.

This year, however, government inaction has left 246,291 qualified candidates and their parents in limbo.

According to KNEC data, out of the 962,512 candidates who sat the 2024 KCSE examination, 246,391 students attained the minimum university entry grade.

Among the top performers, 1,693 candidates scored an A (Plain), a significant increase from 1,216 in 2023.

Additionally, 7,743 candidates scored an A-, 19,150 achieved B+, 43,120 attained a B (Plain), 75,347 scored a B- (Minus), and 99,338 received a C+ (Plus), which is the minimum university entry grade.

KUCCPS is yet to communicate the available slots in universities for the year.

Exclusive reports indicate that KUCCPS is yet to receive the list of available capacities from universities this year.

“We submitted that information to the Commission for University Education (CUE), but it is yet to be presented to KUCCPS,” Daniel Mugendi, the chairman of the vice-chancellor’s committee, says.

Typically, universities are required to declare the number of slots available for various courses, providing insights into the approved programmes and the capacity of each course.

This information helps students make informed choices based on their interests and the financial implications of their chosen programmes.

During previous placement cycles, KUCCPS published the cost of all programmes in universities, colleges, national polytechnics, and other TVET institutions to guide students in their decision-making.

Adding to the uncertainty is the absence of a clear university financing model. A December court ruling nullified the new funding system introduced in September 2023, declaring it illegal and unconstitutional.

Students who applied for placement at universities and colleges via the Kenya Universities and Colleges Central Placement Service (KUCCPS) can check their placement results. This can be done immediately after the announcement of the results.
you can get your admission results by using the KUCCPS student online portal or via SMS.
GETTING YOUR KUCCPS RESULTS THROUGH ONLINE PORTAL
One of the surest ways of checking your admission results is by using the KUCCPS online portal.
Proceed to use the procedure below to check your placement results;
  • Visit: https://students.kuccps.net/
  • Login with your details as follows;
  • Username: (Use your full Index Number)
  • Year: (2019)
  • Password: (Use your Birth Certificate Number or KCPE index number)

After login you should see a box at the bottom of your dashboard, first page, with a message that reads

Congratulations, followed by a university you have been placed then finally the course you will pursue.

You can as well download your admission letter from this portal.

KUCCPS also sends an SMS to the phone number that you registered under your details in the student portal. The SMS contains your placement details and is sent once the placement results have been announced. Ensure that your line is on so as to receive the results.

Apply for Kuccps Inter-institution transfer 2024/2025

HOW TO APPLY FOR KUCCPS INTER-UNIVERSITY TRANSFER 2024/2025

Have you received your 2024/2025 Kuccps placement results? The next step is for you to download your Kuccps placement letter for 2024/2025.

In case you are not satisfied with the placement results you can apply for inter-institution transfer. The good news is that this process is done online and easily.

Follow the steps below to apply for inter university transfer:

  1. Visit KUCCPS website via http://student.kuccps.net
  2. Enter your KCSE index number ,2023 as the ‘KCSE year’ ,use your KCPE index number or birth certificate number as password to login into your account
  3. Click on the ‘transfers’ tab on the top of the window and follow the steps below.

STEP 1: Select the programme you want to transfer to ,In the inter institution transfer field insert the Programme code. You will proceed only if you meet the cut off points and other minimum requirements for the specific course in the institution.

STEP 2: Reason For transfer: The placement service demands that a candidate provides a solid reason for transfer. Main reasons for transfer are; Medical reasons, Financial reasons, Person with Disability, Not my preferred programme or other (You specify). Attach any relevant document that supports the reason for your transfer after which you will be required(in not less than 300 and not more than 600 words) to explain the reason for initiating the transfer. The next page will load automatically if all fields are filled.

STEP 3: Transfer payment: A non refundable transfer fee of Sh 1,000 is paid to KUCCPS via Mpesa .You will follow the procedures indicated in the current window to make payments. After entering the Mpesa confirmation code ,the system will validate and automatically load the next step.

STEP 4: Approval by Receiving institution: The institution you applied to transfer to will receive your application, Considering the availability of space of the course at the institution, the receiving institution may endorse or reject your request.

STEP 5: Approval by release institution: If your application is accepted by the receiving institution, the releasing institution will most probably endorse your transfer.

STEP 6: Approval by KUCCPS: After your transfer is approved by both the releasing and receiving institutions, the placement service will review your application.

STEP 7: Once your application has been reviewed by KUCCPS ,you will be required to download the transfer letter which you will present to the receiving institution during admission.

NOTE

Inter institution transfer is done Online. No physical presentation of application forms to any office.

Inter Faculty/change of course is done by the institution (University) and not by KUCCPS.

Payment For 2024/2025 KUCCPS Inter-university transfer

1. An application-processing fee of Ksh1,000 is charged per application.

A prompt for the M-PESA transaction code will appear at the point of submission. Please keep the transaction code safely as it may be required again.

CAUTION! Do not make any payment before the applicant has been prompted or after the application deadline has passed!

2. Once one has made an application for transfer, the applicant may monitor the progress of their application via the student’s portal.

Note 1:

All application fee payments to the Placement Service MUST be made to the M-Pesa Pay Bill No. 820201.

Note 2:

Applicants are cautioned against sending money to any individual posing on social media or any other platform purporting to be in a position to assist them. The Placement Service does not require applicants to send money to any mobile phone numbers.
