kuccps inter university transfer

KUCCPS is set to open online Inter-Institution transfer

Kenya University and College Central Placement Service (KUCCPS) will provide an opportunity to students who may wish to change their programmes and institutions through the online system. KUCCPS will officially open the online system for inter-institution transfer for students placed during the 2023/2024 placement cycle.

KUCCPS procedures for online Inter-Institution transfer

The student (applicant) shall log in to their online portal and complete a transfer application form.
Upon completion, the request shall be forwarded to the receiving institution for endorsement.
The receiving institution shall endorse the transfer applications received through their institution portal and submit. Endorsement shall be done by the Head of the institution or an officer delegated to endorse on behalf of the Head of the institution.
The receiving institution shall consider an application guided by the available capacity, minimum entry requirements and cut-off Points, and:
- If accepted, the application will be forwarded to the releasing institution for consideration and endorsement.
- If rejected, the rejected transfer request will revert to the applicant with comments from the receiving institution.
- The institution will have seven (7) days to endorse the transfer application, failure to which the application will revert to the applicant.
The Head of the current institution shall either accept or reject the request to clear the applicant for transfer taking into account any obligations owed to the institution by the applicant, and:
- If cleared, the request is forwarded to the Placement Service for review and final approval.
- If not cleared, the application reverts to the student with the reason provided for follow-up or appeal to the Placement Service.
The current institution shall have seven (7) days to endorse the transfer application, failure to which the application shall revert back to KUCCPS for action.
Thereafter, the KUCCPS CEO shall review the application, and:
- If the application is approved, the inter-institution transfer letter will be generated automatically for download by the applicant and both the receiving and the releasing institutions through their respective portals.
- If the application is not approved, the applicant will receive a notification with the reason for rejection.
Thereafter, the applicant shall download the approved transfer letter and present it the receiving institution for admission and joining instructions.
An inter-institution transfer shall only be valid after approval by KUCCPS.

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is mandated with the responsibility of placing students to higher institutions of learning; Universities, Colleges, Polytechnics and TVETs. KUCCPS is the Government of Kenya body that undertakes the selection of students for admission to higher learning institutions for Government sponsorship. After students have selected their courses, kuccps reviews and places them accordingly. Such students can then check their placement results, online, after the selection process.

How to Check Course and University admitted to; KUCCPS 2020/2021

For the 2019 Kenya Certificate of Secondary Education, KCSE, candidates, you can check for your placement results but after kuccps has finalized the selection process. After the announcement of the results, then use the procedure below to check placement results;

Visit: https://students.kuccps.net/
Login with your details as follows;
Username: (Use your full Index Number)
Year: (2019)
Password: (Use your Birth Certificate Number or KCPE index number)

After login you should see a box like the one below with a message that reads

Congratulations, followed by a university you have been placed then finally the course you will pursue.

Remember, there are 3 periods provided for by kuccps in order to apply for courses of your choice. These include:

1). School application window: This is opened usually in October/ November for candidates to choose their courses, long before they sit for the KCSE exams. This is the best moment for you to apply for your course choices. This way, you stand a better chance of joining your preferred course and is also it is cheaper; you pay only Sh500.

2). KUCCPS first revision:
First revision for degree and diploma choices will be on dates to be announced by placement service after the release of KCSE results.

3). KUCCPS second revision:
Candidates who will not have qualified on competitive selection for any of their preferred choices during the first round of selection will be given a chance to do second revision by selecting courses with unfilled capacities.

4). Placement to any programme:
Any applicant who fails to qualify for their choices but meet the cut off points for placement may be offered any course with unfilled capacities taking into account the minimum requirements for admission.

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is set to release the placement results for the 2021 KCSE candidates. According to the agency, the placement process is complete and applicants will receive their results.

“Hello, placement process is complete, you will get to know your placement status tomorrow. Check your student portal for feedback.” noted KUCCPS today, in a response to a query on the status of the placement process.

This year’s release of the results won’t be delayed like last year’s. KUCCPS placed a total of 89,486 students to degree programmes in public and private universities. While TVET programmes (diploma, craft certificate and artisan certificate) took up a total of 98,393.

Placement results are conveyed to students via SMS. The students can also visit the Official KUCCPS student’s portal.

The 125,449 candidates who sat for their KCSE in 2021 and scored grade C+ (plus) and above will all be placed against the available capacity of 193,878. Another 688,928 students qualified for placement at tertiary institutions under government sponsorship. Similarly, a total of 563,479 students who scored between C and E and will be receiving their placement results at Technical and Vocational Education and Training (TVET) institutions.

THE UNIVERSITY’s ADMISSION LETTER DETAILS

The University’S admission letter is an important document that enables you, as a prospective student, to prepare well before joining the institution. Among other functions, the letter enables you to apply for Higher Education Funding (HEF) through the Higher Education Loans Board (HELB), other Bursaries. It also provides a list of items that a Student must obtain before reporting to the university.

Contents of the University’s admission letter include:

The Course you have been selected to pursue.
Reporting dates
What to carry during admission; Original and Copies of your academic certificates, national identity card/ passport, NHIF/ SHA Card, Coloured Passports and Duly filled registration forms accessible at the university’s website.

The Kenya Universities and Colleges Central Placement Service, KUCCPS, is inviting the KCSE examination class of 2020 and other Kenyan youth seeking training opportunities to apply for government sponsorship to universities and colleges.

The online application system opened on May 24, 2021 and will close on June 11, 2021.

Who is supposed to apply

KCSE class of 2020 – to apply for degree, diploma, craft certificate and artisan courses
KCSE class of 2019 and previous years (back to 2000) – to apply for diploma, craft certificate and artisan courses (must not have been placed by KUCCPS before)

Highlights of the Application

2020 KCSE candidates who selected their desired courses in school should revise their choices to further align them with their exam performance and interests.
Those who did not apply in school are invited to choose courses during this period.
KCSE graduates of 2020 are eligible for sponsorship to artisan, certificate, diploma or degree programmes, depending on their individual grades.
Candidates from previous years who have never received government-sponsorship to university/college are eligible to apply for artisan, certificate or diploma courses in TVET colleges.

Minimum Requirements

The minimum requirements are subject to other entry requirements stipulated by professional and regulatory bodies where applicable.

Application/Revision Guidelines

Application should be done online through the KUCCPS Student’s Portal, students.kuccps.net, which is accessible through the Placement Service website www.kuccps.ac.ke.
Applications can be submitted online from any location through any gadget connected to the Internet (computers, mobile phones, tablets etc.).
Applications may also be submitted through the Placement Service App (KUCCPS Students), which can be downloaded from Google Play Store.
More information including detailed application guidelines, available institutions and programmes, minimum subject requirements and previous cut-off points are available on the portal.

During the application/revision period, KUCCPS will send officers to different institutions across the country to support applicants who may experience challenges. The list of the institutions will be published on the KUCCPS website www.kuccps.ac.ke.

Here are answers to KUCCPS frequently asked questions:

Question: I have provisionally secured one of the courses I applied for. What does it mean? Should I apply again?

Answer: It means you have been allocated one of the courses you applied for pending further processing. You do not have to apply again or revise your choices.

Question: I have made an error while paying. What should I do?

Answer: Send us the transaction details (Mpesa code and phone number used in making the payment) via with a request to reverse. Reversals take at up to seven days.

Question: How can I know whether I am required to do a second revision?

Answer: On to your portal (dashboard), you will see a message informing you to revise your choices. An SMS has also been forwarded to the phone number you submitted with your initial application.

Question: I have not secured any of the courses I applied for yet I met all the minimum requirements!

Answer: Applicants compete for limited vacancies and some are left out due to the competition.

Question: How can I know whether I have provisionally secured a course?

Answer: Log in to your Student’s Portal and you will find the information on the Dashboard.

Question: What are the common errors made when making payments?

Answer:

> Failure to use correct Pay Bill No. (820201)

> Incorrect account number

> Incorrect transaction code (typing letter O instead of zero (0); letter I instead of number 1 or letter U instead of letter V).
