September 2020 Universities, Colleges and TVETs intake; How to check kuccps degree and diploma placement for September 2020 intake

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is mandated with the responsibility of placing students to higher institutions of learning; Universities, Colleges, Polytechnics and TVETs. KUCCPS is the Government of Kenya body that undertakes the selection of students for admission to higher learning institutions for Government sponsorship. After students have selected their courses, kuccps reviews and places them accordingly. Such students can then check their placement results, online, after the selection process.

How to Check Course and University admitted to; KUCCPS 2020/2021

For the 2019 Kenya Certificate of Secondary Education, KCSE, candidates, you can check for your placement results but after kuccps has finalized the selection process. After the announcement of the results, then use the procedure below to check placement results;
  • Visit: https://students.kuccps.net/
  • Login with your details as follows;
  • Username: (Use your full Index Number)
  • Year: (2019)
  • Password: (Use your Birth Certificate Number or KCPE index number)

After login you should see a box like the one below with a message that reads

Congratulations, followed by a university you have been placed then finally the course you will pursue.

Remember, there are 3 periods provided for by kuccps in order to apply for courses of your choice. These include:

1). School application window: This is opened usually in October/ November for candidates to choose their courses, long before they sit for the KCSE exams. This is the best moment for you to apply for your course choices. This way, you stand a better chance of joining your preferred course and is also it is cheaper; you pay only Sh500.

2). KUCCPS first revision:
First revision for degree and diploma choices will be on dates to be announced by placement service after the release of KCSE results.

3). KUCCPS second revision:
Candidates who will not have qualified on competitive selection for any of their preferred choices during the first round of selection will be given a chance to do second revision by selecting courses with unfilled capacities.

4). Placement to any programme:
Any applicant who fails to qualify for their choices but meet the cut off points for placement may be offered any course with unfilled capacities taking into account the minimum requirements for admission.

How to apply for the KUCCPS 2020/ 2021 Universities and Colleges placement through schools

The Kenya Universities and Colleges Central Placement Service, kuccps, has opened the school portal for the application for placement of the 2019 Kenya Certificate of Secondary Education (KCSE) candidates. 

THE APPLICATION PROCESS

1). The Centre/School application can only be submitted by the Principal not individual students. It is important that Principals/schools apply for student for placement to Universities or Colleges. The Principal can access the Placement Service Portal through: https://schools.kuccps.net/ or by visiting the Placement Service website: https://kuccps.net and clicking on the link marked Principal’s Portal.

2). All schools/centers are supposed to create a new account, kindly click on ‘New Account’ link and fill in the relevant verification details to create the new account. This is done by entering: The school’s KNEC code and correct index numbers & last names of any two students/ candidates. Then click on submit.

3). next, create the user for the school who can either be the school’s Career teacher or Principal. The following details are required: First name, Last name, Email, Phone Number, User Name (TSC Number, ID Number or Passport Number) and role (Career Teacher or Principal). Create your Password and click on Submit. If Successful, a message thus; ‘Account Created: Your account has been created successfully. Please proceed to login,’ will be displayed.

4). Now, Log onto your account by using your User Name (TSC Number, ID Number or Passport Number) and Password.

5). Move to the ‘Applications’ tab. Fill in the School Location and Contact information. This include: The County, Sub County, Constituency, Ward, Division, Location and Sub Location. Click on ‘Submit’ once done.

6). Click the ‘Application Template’ button. This will download the excel workbook where you will be expected to populate with the student’s choices. (7-digit Programme Codes NOT Programme Names).

7). Filing Students’ choices

a) Filling and saving the template
The student has 18 choices open to them,
1. 6 Degree options (1a, 1b, 1c, 2, 3, 4)
2. 4 Diploma options (1,2,3,4).
3. 4 Craft Certificate options (1,2,3,4)
4. 4 Artisan Certificate options (1,2,3,4).
The Student is allowed to apply for either any combination of or all levels, but they should be in the appropriate fields, i.e. no Diploma Codes in the Degree area or vice versa, these choices will be disregarded.
The student should only apply for programmes they will be comfortable pursuing if they are
placed to them. No field is mandatory.
If a student will not be applying, do not enter anything in the fields, leave the choice cells
blank and only fill the contact details.
Choices 1a-1c should be the same programme in different institutions, in cases where the
programme only exists in one or two institution/s please enter only the one/s available and skip the other. Do NOT fill the gap with another unrelated option as it will be disregarded at upload.
Once the file is fully populated, save it as an Excel Workbook (.xlsx) any other format will be rejected.

b) Uploading the filled in template
On the portal, under application, click on ‘Upload Form’ and submit. Once uploaded, the system will generate a report on the same page, please ensure the details appearing there are correct, i.e. only the ones who paid and are making applications are marked, once you submit the form, you will not be able to change the students who will be allocated the funds.
Any programme codes highlighted in pink are erroneous and should be corrected. Once satisfied the report is representative of the intended upload, check the payment requirement and make the payment.

c) Paying for the Applicants
All payments are made via Mpesa Paybill for the whole amount for the number of applicants, the details are as detailed below:
Business Number: 820201
Account: 8-digit Center Code
Amount: (500*Number of Applicants).

d) Finalising
Once you have paid enter the Mpesa transaction code in the field provided and ‘Apply’ the payment, this will assign the funds to the students with choices. 

Click ‘Save Application’ to commit the choices.
Please note you will not be able to change allocation for student funds after saving, so be certain before submitting. Visit the Dashboard at any time to view the current application.

Once it is final, please go to the ‘Dashboard’ tab and click the ‘Application Report’ button to
download the report in PDF for the Principal’s Signature and stamp for submission to KUCCPS.

The Kenya Universities and Colleges Central Placement Service is a state corporation established under Section 55 of the Universities Act of 2012 to:

a) Co-ordinate the placement of Government Sponsored Students to Universities and Colleges.
b) Disseminate information on available programme, their costs and the areas of study prioritized by the Government.
c) Collect and retain data relating to University and College Placement.
d) Advise the Government on matters relating to University and College Placement.
e) Develop career guidance programmes for the benefit of students
f) Perform any other function assigned to it under the Act.

In addition, the Act mandates the Placement Service to establish criteria to uphold equity and balanced access to University and College education and develop suitable criteria to promote affirmative action and other strategies as may be approved by the Government from time to time.

The Placement Service has therefore developed a Placement Policy and Procedure that was validated by stakeholders and approved by the Board. A copy may be accessed through the Placement Service website: https://www.kuccps.ac.ke.

The following are some important highlights from the Policy and Procedure for your information and guidance:-

1). That all secondary schools are expected to provide the necessary career guidance and assist the K.C.S.E. candidates with the online application for placement to Universities and Colleges

2). That all secondary schools shall on behalf of their candidates to collect, collate and submit online the applications for placement to Universities and Colleges following the procedure given in the website.

3). That at school application stage, each candidate is required to pay an application fee of Ksh 500 (five hundred) only; following the procedure given in the website.

4). Currently, the Minimum Requirements for placement to Degree programmes is C+, Diploma C., Craft Certificates D and Artisan Certificate D- and below.
All K.C.S.E. candidates therefore, are eligible for placement to Universities and Colleges under Government sponsorship at the applicable level. You are therefore advised to ensure that all students take advantage of the Government Sponsorship.

5). That Minimum Entry Requirements by Regulatory and Professional Bodies will also be applicable.

6. That the placement of Government sponsored students applies only to Kenyan citizens.

SCHOOL/CENTRE APPLICATION

The school/Centre application will commence on November/ December.

Application Process

Each candidate shall be given an opportunity to choose his or her preferred course as shown below:

1). Degree Course: choices; (a), (b), 1(c), 2, 3, 4.
2). Diploma Course: Choices; 1,2,3,4
3). Craft Course: Choices; 1,2,3,4
4). Artisan Course: Choices; 1,2,3,4

All candidates should be encouraged to apply, and can give choices from all four levels.

However, they should make choices only for programmes they are interested in. No field is mandatory. Applicants will be given a chance to revise choices after the release of 2019 KCSE results.

AFFIRMATIVE ACTION

In conformity with the Constitution, the Placement Board has developed Placement Policy for Affirmative Action based on gender, marginalized and minority groups and disability criteria.
Principals are therefore reminded to give information on any KCSE candidates with disability to facilitate this process.

PLACEMENT CRITERIA

The Placement Service, in consultation with stakeholders, continuously ammends the criteria for placement of candidates to degree and TVET courses. The ammended criteria and other relevant guiding information such as courses available per university and college, similar programmes and previous cut-off points (where applicable) may be accessed through
the Placement Service website www.kuccps.ac.ke

CAREER GUIDANCE BOOK

The Placement Service, in April of this year, released a guidebook titled “The Essential Career Guide: Making an informed Choice”.

The book provides insights on:
• Planning for a dream career.
. The courses to pick for desired careers.
• How to choose subjects wisely.
• Self-assessment
• Career paths and fields

The Career Book published and distributed by the Kenya Literature Bureau is available in major bookshops countrywide. We encourage you to get copies for the benefit of students, teachers and parents.

KUCCPS Requirements to join Tvet Institutions

To qualify for TVET programmes, one must meet these basic requirements: Must score;

  •  C plain and C– in the 2019 KCSE examination are all eligible for placement in diploma courses in tertiary TVET institutions.
  • D and D+ in the 2019 KCSE are eligible for placement in  Craft  Certificate Courses in TVET  institutions.
  • E and D– in the examination are eligible for selection to Artisan courses in the existing  800  Vocational Education and Training (TVET) institutions

KUCCPS opens the online application system for specified periods for students to apply.

The available programmes, institutions, minimum entry requirements and the application procedure are available on the KUCCPS Student’s Portal accessible through the Placement Service website www.kuccps.ac.ke.

Successfully placed students usually join college from September.

Applicants who need assistance should visit the KUCCPS desks in the following Huduma Centres: Nairobi (GPO and Makadara), Eldoret, Meru, Nyeri, Kisumu, Kakamega, Nakuru, Kitui, Garissa and Mombasa. Assistance may also be obtained at the KUCCPS offices at ACK Garden House (Ground Floor) on 1st Ngong Avenue in Community Area, Nairobi.

2022 KCSE candidates guide on how to apply for courses via the KUCCPS portal

Applications for placement in Kenyan Universities, Artisan, and Colleges is done via the Kenya Universities and Colleges Central Placement Service, KUCCPS, portal.

All secondary schools are expected to give necessary career guidance and assist the Kenya Certificate of Secondary Education, KCSE, 2022 candidates with online application for placement to universities and colleges.

Minimum kuccps placement requirements

The Placement Procedure

Students placement to institutions of higher learning occurs in four (4) phases, namely:

  • Enter your 2022 KCSE index number, KCSE year (2022) and your password ( Use Your Birth Certificate No. / KCPE Index No (as used in KCSE Exam Registration) as your Initial Password).

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is a State Corporation that provides career guidance and selects students for admission to universities, national polytechnics, technical training institutes and other accredited higher learning institutions for Government of Kenya-sponsored programmes.

Application Guidelines

  1. To apply, login to the https://students.kuccps.net/ using your KCSE Index Number and KCSE Year. Use your Birth Certificate Number/KCPE Index Number as the Password.
  2. All programmes have minimum subject requirements. You will only be able to apply for a course whose minimum requirements you meet, but the selection will be determined by the overall performance and the available capacity.
  3. You may view the available programmes and their requirements by clicking the Programmes tab in the portal. You can also search for courses by institution, using the Institutions tab.
  4. As you select the programmes, you may move the ones that interest you into the Course Basket. This will enable you to work with a shorter list when preparing your final list of courses to apply for.
  5. Once you have settled on your preferred courses, you will only be required to enter the Programme Codes.
  6. To apply, use the Application/Revision tab to enter the Programme Codes.
  7. After confirming that the Programme Codes entered are for the courses you would like to apply for, please submit and follow the application fee payment instructions.
  8. An application processing fee is charged as follows:
    • Students applying for the first time – Ksh 1,500
    • Students revising their choices submitted in school – Ksh1,000
  9. The placement processing fee should be paid after you have selected courses.
  10. You are advised to keep your transaction code safely. It will be required before you make any subsequent changes to your application.
