NEMIS GUIDE- How to register a continuing Learner/ student on NEMIS

There are cases of learners who missed out registration last year due to one reason or another. Some learners failed to have their details captured as they did not have Birth Certificates; which are mandatory requirements for registration on the National Education Management Information System (NEMIS). Consequently, such learners lack the Personal unique Identifiers, UPI.

To register continuing learners:

  1. Visit the NEMIS portal at https://nemis.education.go.ke
  2. Log onto the system by using the official log in credentials; User Name and Password.
  3. Click on the ‘LEARNER’ tab and select ‘View my learners’ from the drop down list.
  4. Select the Class/ Form of the learner. A list of learners will be displayed.
  5. At the top left corner of the list, locate and click on the ‘ADD NEW STUDENT’ tab. A new window titled ‘Learner Bio Data’ is displayed.
  6. Enter the learner’s details correctly i.e Surname, First Name, Other Names, Birth Certificate Entry Number, Date of Birth, Gender, Nationality and Special Condition (if any). Click on ‘SAVE BASIC DETAILS’ once done.
  7. The Learner will be accorded a new UPI.
  8. Select and correctly update details on the other two tabs; Contact details and Special Needs.
  9. NOTE: To edit the Learner’s details, open the form that the learner is currently placed by using the ‘LEARNER’ tab, locate the learner in the list and Click on ‘VIEW’.

Sub- county and Private schools selected their 2019 form ones manually. Consequently, these two categories of schools are expected to upload a soft copy of the selected students to the Ministry of Education’s National Education Management Information System, NEMIS, portal.

To upload details for selected students:

  1. Access the NEMIS portal at https://NEMIS.education. go.keke
  2. Enter the user name and password (provided to Principals) and log in.
  3. At the bottom left corner of the new page, locate and download the SELECTION EXCEL TEMPLATE.
  4. Find the downloaded excel template on your local storage; which is labeled as- ‘MY SELECTION.xls’ and open it.
  5. Now, feed in the index numbers for all the manually selected students, under the ‘INDEX’ column. NB: Since you may not be having the Unique Personal Identifiers (UPI) for the learners, leave this column blank.
  6. Once done, save the excel document in an accessible location of your device using such identifiers as Name of School, KNEC Code….
  7. Then, visit the NEMIS portal so as to upload the saved excel document.
  8. To upload the document, click on ‘UPLOAD SELECTION FILE’ at the top of the page. Search the Excel document by clicking on the search icon and select it.
  9. Enter the name to the completed Excel document as saved on your device, under the ‘description’ box and click on ‘UPLOAD’. This is the final stage of the upload process.
  10. The ministry officers will then convert the excel document into the ‘Form 1 Admission List’ to be used during admissions.

CARRYING OUT ADMISSION OF FORM ONES, 2019, THROUGH NEMIS- MINISTRY OF EDUCATION

The Ministry of Education has released a detailed presser on the 2019 form ones’ admission process by schools. Here is the presser by the Principal Secretary, Dr Belio Kipsang, dated 6th January 2019 and sent to all Principals of Public and Private Secondary schools;

“RE: CARRYING OUT ADMISSION OF FORM ONES, 2019, THROUGH NEMIS

During the admission process starting on 7th January, 2019 all learners will be processed through NEMIS (National Education Management Information System). When a student arrives for admission, they present their joining letters and verification of existences in the system is done. The following steps will be followed during admission:

  1. Using a smartphone or computer, Principal or delegated person logs onto https://nemissystem.education.go.ke/ or https://nemis.education.go.ke/
  2. Go to tab learner.
  3. Click on Admit/ Process request.
  4. Enter Index number on search UPI/ INDEX space.
  5. Click search.
  6. The details of the student will appear indicating that the student is selected to join the school. If the student is selected for your school, move to step 7.
  7. Click on Admit.
  8. The Student can now proceed for processing in other steps of admission. Admission can only succeed if the learner is in the system account for the school..

In the meantime, schools should download and print their selection lists from the NEMIS in readiness for the exercise. This will be used as a backup in case of connectivity challenges. Where internet interruption is experienced, the school should use the list and immediately thereafter follow the steps indicated earlier.”
